1. Who this policy covers
New Grounds LLC (“New Grounds,” “we,” “us,” or “our”) provides marketing and inquiry-handling services for new residential AC system installations. This policy applies to newgroundsllc.com, our fit-call and client-onboarding forms, scheduling and communications, and information we process while delivering services.
New Grounds is not an HVAC contractor. When an HVAC business engages us, that business is responsible for its own homeowner privacy notices and legal permissions. The signed Services Agreement and any written data-processing terms govern client campaign data if they address a subject differently from this website policy.
2. Information we collect
Information you provide
This may include your name, business name, work contact details, service area, requested services, appointment details, messages, and onboarding information about business operations. If you are a client, it may also include account IDs, user-access invitations, campaign settings, business hours, call-routing rules, booking availability, and approvals.
Do not submit passwords, one-time verification codes, recovery codes, payment-card numbers, tax IDs, or API secrets in general website or onboarding forms. If an account requires a sensitive identifier, we arrange a separate secure handoff.
Campaign and inquiry information
When a contractor uses our services, we may process campaign source, form submissions, calls, call-tracking events, contact details, requested service, location, appointment status, and related records. We use that information only as reasonably needed to provide the agreed campaign, inquiry-routing, booking-support, reporting, billing, and troubleshooting services.
Payments
Payments may be handled by Stripe or another payment provider shown at checkout or on an invoice. We receive payment and invoice status and related transaction records. Payment providers process payment credentials under their own terms and privacy notices.
Technical information
Our website and service providers may receive device, browser, IP/network, page-use, cookie, and security-log information. Embedded scheduling, document, video, or other third-party content may collect information directly through the provider that supplies it.
3. How we use information
- Respond to questions, arrange fit calls, and communicate about a potential or existing engagement.
- Set up and manage agreed advertising, landing-page or form capture, inquiry routing and tracking, appointment support, and reporting.
- Configure approved follow-up for eligible unanswered campaign calls, where the client has approved the workflow and any required permissions are in place.
- Process invoices and payments, maintain business records, support security, troubleshoot services, and prevent misuse.
- Meet legal obligations, protect rights and safety, and improve our website and operations.
4. AI-assisted scheduling follow-up
If an HVAC client requests and approves it, an AI-assisted system may process campaign call and contact information to try to help an eligible homeowner schedule an appointment after a call is not answered. The workflow is limited to scheduling support; it does not diagnose equipment, quote a job, dispatch a technician, or decide whether the contractor will perform work. We use the client-approved configuration and pause the workflow if a required disclosure, permission, or platform approval is missing or disputed.
The HVAC contractor remains responsible for its customer notices, permissions, calendar, appointment availability, dispatch, estimates, and service delivery. Homeowners should review the contractor’s privacy notice for its handling of their information.
5. When we share information
We share information only as needed for the purposes described here, including with:
- The HVAC business for whom an inquiry was submitted. Campaign and homeowner inquiry information is routed to that contractor so it can respond and provide its services.
- Service providers. These may include GoHighLevel/LeadConnector for website, CRM, forms and communications; Google for Ads, Workspace and related account tools; Calendly for scheduling; Stripe for invoicing and payments; and call-tracking, hosting, analytics, security, or AI-assisted follow-up providers selected for an account.
- Legal or safety recipients. We may disclose information when reasonably necessary to comply with law, respond to legal process, protect rights, investigate misuse, or address safety concerns.
- Business transfers. Information may be transferred as part of a merger, financing, reorganization, or sale of relevant business assets, subject to applicable law.
We do not sell personal information for money. Our service providers may handle information under their own privacy terms, and third-party embeds or links are governed by the provider’s own notices.
6. Data retention and security
We retain information for as long as reasonably needed to provide services, maintain business and invoice records, resolve disputes, meet legal requirements, and protect our systems. Retention can vary by the type of record and the client relationship.
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No internet transmission or storage system can be guaranteed completely secure.
7. Your choices and privacy requests
You may ask us to access, correct, or delete personal information we hold about you by emailing [email protected] with “Privacy Request” in the subject line. We may need to verify your identity and may retain records where the law, a contract, security needs, or legitimate business records require it. Rights vary by location and applicable law.
You can stop optional marketing emails by using the unsubscribe instructions in the message. You can control cookies through your browser settings; blocking some cookies or third-party embeds may affect page features or scheduling.
8. Third-party links and embedded content
Our pages may link to or display content from services such as Calendly, Google, Stripe, YouTube, or other providers. When you open or interact with that content, the provider may collect information under its own privacy policy. We do not control third-party sites or their privacy practices.
9. Children’s privacy
Our website and services are intended for businesses and adults and are not directed to children under 13. We do not knowingly collect personal information from children under 13 through this website. If you believe a child submitted information to us, contact us so we can review and address the request.
10. Changes to this policy
We may update this policy as our website, services, providers, or legal obligations change. We will post the current version here and revise the “Last updated” date. Changes apply from the date posted, subject to applicable law.
